Q. How do I deal with email messages on the Community Network?
When you click on the subject of an email message in the Email Archive of a Initiative, you are taken to a screen where you can read the message and see who sent it and when. You may even look at a printer-friendly version if you want a hard copy of the message. At the bottom of each message are blue boxes that you can click on to reply to the entire Initiative or just to the author of the message.
When you click a reply link, you are taken to the web interface for sending the email. (more on that interface is found in Replying to a message from web). By using the Web interface, you can reply to someone without knowing their email address, which respects privacy.
If you don't want to reply, you also have the option of going to the previous message, the next message or the listing of all messages for that Initiative, which makes reading through a large number of messages convenient.
Other conveniences in the email archive listing for each Initiative include the ability to sort messages by date or sender, in either ascending or descending order, and an indication that a message has already been read by removing the bold formatting from the message subject in the message listing. You can also sort by message subject (and the search ignores RE: and FWD:).
Sending messages is easy. You can:
- click on one of the links on the Send Email section on the right side of the Initiative Home page that has an envelope icon, which will take you to your email software with a message already started.
- start a message in your email software addressed to DISCUSSIONNAME@YOURCOMMUNITY.ORG. (or .com)
- click on the link in the right column on the Discussion Home page that says Send from Web Interface (and has an envelope on top of an earth icon). This option is especially convenient for Community Network members who primarily use a web-based email system, such as hotmail.
Often you will want to print email messages. In the archives, on the right side of the message display, you will see an image of a printer and the words "printer friendly view." Click there for a display of the message that prints out nicely.
